Job Description

Introduction

Provide full range of office administration services and coordination of station activities in the Air Botswana Johannesburg Office to enhance service efficiency and project a positive image of the Airline.

Specification

1.Act as a first point of contact for the Office, including enquiries which may be emotive, distressing and complex in nature; assessing the nature and urgency of the call and responding or referring to relevant officers as appropriate.
2.Undertake general clerical and administrative tasks to support the service as required (e.g. post processes, photocopying, scanning)
3.Maintain diaries, appointments, scheduling and arranging meetings and prepares minutes.
4.Uses a range of office automation applications and machines including copies, Dictaphones, collators, etc. to draft correspondence and reports.
5.Enters data into the spreadsheets and other statistical programmed as required and prepares reports as directed
6.Answers routine correspondence as directed
7.Up-dates standard reports as directed
8.Checks the local post box for external mail
9.Ensures and filing including staff files are updated
10.Ensure all office equipment is functional and reports any breakdowns to the relevant parties for repairs
11.Process mail, priorities and files documentation
12.Monitors the boardroom bookings,
13.Ensures all staff training records are up to date, schedules refresher training for all staff
14. Ensures that all office supplies are ordered, provided, e.g. stationary, refreshments,
15.Welcomes and directs visitors, arranges refreshments as and when necessary
16. Supervisors cleaners, maintenance to ensure all officers and reception area in always maintained in a neat and tidy condition
17.Controls and accounts for office petty cash in the absence of the Cashier

Requirements

Education : Diploma in Office Administration or related field.
Experience : Two (2) or more years' office administration experience. Valid Driver's Licence (Light Duty), Proficient in a variety of computer software applications including Microsoft Office Suite (Word, Excel, Outlook, and Access).
